🚀

Getting Started

Register your company and set up your account

1

Download TeamFlow

Download the TeamFlow app from the App Store (iOS) or Google Play (Android). It's free to download.

2

Tap "Get Started" and choose Employer

Open the app and tap Get Started. Select Employer / Admin as your role. Enter your name, email address and a password to create your account.

3

Enter your company name

Type your company or organisation name. This is what your employees and site managers will see when they join.

4

Choose a subscription plan

Select the plan that fits your team size — from the free plan (up to 5 employees) to Enterprise (300+ employees). All paid plans include a 14-day free trial.

  • Free — up to 5 employees, no credit card needed
  • Starter €19/mo — up to 20 employees + contractor management
  • Basic €39/mo — up to 50 employees + site manager roles
  • Standard €69/mo — up to 100 employees + multi-location
  • Pro / Business / Enterprise — up to 300+ employees
ℹ️ You can upgrade or downgrade your plan at any time from the Account tab.
5

Your company codes are ready

After setup, TeamFlow generates two unique codes for your company: an Employee Code and a Site Manager Code. Share these with your team so they can join. You'll find them in the My Team tab.

👥

My Team

Invite, manage and organise your workforce

1

Share your join codes

Go to the My Team tab and tap Invite. You'll see two codes:

  • Employee Code — share with your regular employees
  • Site Manager Code — share with your site managers / supervisors

Employees enter this code when they register in the app and are automatically added to your team.

2

Bulk email invitations

To invite multiple people at once, tap Bulk Invite in the My Team tab. Enter email addresses (one per line) and the app will send invitation emails automatically with your join code included.

💡 Use bulk invite when onboarding a large team — saves time compared to sharing the code individually.
3

Approve or reject join requests

When someone joins using your code, you'll see them appear in the My Team tab with a Pending status. Tap their name to approve or reject their request. Only approved members appear in your scheduling views.

4

View and manage team members

Your team list shows all active employees, site managers and contractors with their role and status. You can:

  • See each person's role (Employee, Site Manager, Contractor)
  • View their contact details and contractor company name
  • Deactivate a member if they leave the company
5

Link contractor agencies

If you work with external staffing agencies, go to My Team → Link Contractor. Enter the contractor's company code. Their employees will appear in your team list, labelled with their agency name, and can be added to any project or schedule.

ℹ️ Contractor employees are tracked and reported separately — you always know who belongs to which agency.

🏗️

Projects & Scheduling

Create projects, assign your team and send shifts instantly

1

Create a new project

Go to the Projects tab and tap + New Project. Fill in:

  • Project name — e.g. "Site A Night Shift"
  • Date — the date of the shift or project
  • Location — the work site or address
  • Start time and end time
2

Assign employees and site managers

After creating the project, tap Add People. Browse your full roster — own employees and contractors all in one list. Tap each person to assign them. You can assign as many people as needed, and the same person can be on multiple projects.

💡 Use the search bar to quickly find team members by name or agency.
3

Set individual shift times (optional)

By default all assigned employees get the same start and end time. If some people have different hours, tap their name in the assignment list and adjust their individual times.

4

Send the schedule

When everything is set, tap Send to All. TeamFlow will:

  • Send a push notification to every assigned employee
  • Send an email to each employee with their shift details
  • Send site managers a full team list showing every person's name, shift time and location
ℹ️ Once sent, the project card turns green with a "Sent ✓" badge so you always know what's been communicated.
5

View and manage your projects

All projects appear in the Projects tab, grouped by date. Tap any project to see the full assignment list, edit details or delete the project. Deleting a project also removes any associated schedules.

📋

Schedule Upload

Plan shifts in Excel and upload them in bulk

1

Download the Excel template

Go to the Schedule tab and tap Excel Template. The app downloads a pre-filled spreadsheet with all your employees and site managers already listed. Open it in Excel, Google Sheets or any spreadsheet app.

2

Fill in the template

The template has these columns:

  • Include (X) — put an X next to each person you want to include. Rows without X are ignored on upload.
  • Project Name — type the project or site name. People with the same project name are grouped into one schedule card.
  • Full Name / Email / Type — pre-filled, do not edit
  • Location — the work site address
  • Date — format YYYY-MM-DD (e.g. 2026-07-15)
  • Start Time / End Time — format HH:MM (e.g. 08:00)
  • Notes — optional extra instructions
💡 You can have multiple projects in one upload — just use different Project Names and they'll appear as separate cards.
3

Upload the filled template

Back in the app, go to Schedule → Upload Excel. Pick your completed file. The app shows a preview with the number of entries parsed. If everything looks correct, tap Upload & Save.

4

Send the uploaded schedule

After uploading, schedule cards appear at the bottom of the Schedule tab — one card per project name. Tap a card to expand it and see the full list of people. Tap Send Schedule to All to notify everyone by email and push notification.

5

Manage uploaded schedules

Each schedule card shows the project name, date and number of people. Expand a card to see individual entries. Use the Delete Schedule button to remove a schedule, or Clear... at the top to bulk-delete all schedules before a chosen date.

⏱️

Hours & Approvals

Review timesheets, approve hours and export to payroll

3

Export Excel reports

Tap Download Report on any employee's timesheet to get a payroll-ready Excel file with all their approved hours for the selected month. You can also download a report for the entire team at once.

💡 Overtime is calculated automatically based on standard hours — no manual calculation needed.

1
