Terms of Service

These Terms of Service ("Terms") govern your access to and use of the TeamFlow mobile application and website ("Service"). By using TeamFlow, you agree to be bound by these Terms.

1. Acceptance of Terms

By registering for an account or using the Service, you confirm that you are at least 16 years old and have the legal authority to enter into these Terms on behalf of yourself or your organisation.

2. Description of Service

TeamFlow is a workforce management application that provides tools for employee scheduling, timesheet tracking, distance logging, contractor management, and reporting. The Service is provided via mobile applications for iOS and Android.

3. Account Registration

To use TeamFlow, you must create an account. You agree to:

• Provide accurate and complete registration information
• Keep your PIN secure and not share it with others
• Notify us immediately of any unauthorised use of your account
• Be responsible for all activities that occur under your account

4. Subscription and Payments

TeamFlow offers a free plan and paid subscription plans. Paid plans are billed monthly via Stripe. By subscribing to a paid plan, you agree to:

• Provide valid payment information
• Pay all applicable fees for your selected plan
• A 14-day free trial period for new paid plan subscribers
• Automatic renewal unless cancelled before the renewal date

We reserve the right to change pricing with 30 days' notice. If you do not agree with a price change, you may cancel your subscription before it takes effect.

5. Free Plan

The Free plan supports up to 5 active employees and includes core features at no cost. We reserve the right to modify free plan limitations with reasonable notice.

6. Acceptable Use

You agree not to use TeamFlow to:

• Violate any applicable laws or regulations
• Submit false or misleading timesheet data
• Attempt to gain unauthorised access to other accounts or systems
• Transmit malicious code or interfere with the Service
• Resell or sublicense access to the Service without permission

7. Data and Privacy

Your use of the Service is also governed by our Privacy Policy. Employers are responsible for ensuring they have appropriate legal basis (e.g. employment contract, consent) for processing employee data through TeamFlow, in compliance with applicable data protection laws including GDPR.

8. Intellectual Property

TeamFlow and its original content, features, and functionality are owned by TeamFlow and are protected by international copyright, trademark, and other intellectual property laws. You may not copy, modify, distribute, or create derivative works from our Service without express written permission.

9. Account Suspension and Termination

We may suspend or terminate your account if you:

• Violate these Terms
• Fail to pay subscription fees after a reasonable notice period
• Use the Service in a manner that could harm other users or our infrastructure

You may delete your account at any time through the app's Settings screen. Upon deletion, your data will be removed as described in our Privacy Policy.

10. Disclaimer of Warranties

TeamFlow is provided "as is" and "as available" without warranties of any kind, either express or implied. We do not warrant that the Service will be uninterrupted, error-free, or completely secure.

11. Limitation of Liability

To the maximum extent permitted by law, TeamFlow shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service.

12. Changes to Terms

We may modify these Terms at any time. We will provide notice of significant changes via email or in-app notification. Continued use of the Service after changes constitutes acceptance of the new Terms.

13. Governing Law

These Terms shall be governed by and construed in accordance with the laws of Belgium, without regard to its conflict of law provisions.
